Facilities & Reception Employee
ApplyDo people, customer service, and a varied workday energize you? As a Facilities Associate for Meeting Services & Reception, you’ll be one of the faces of SURF. One day, you’ll ensure our meeting center looks its best and that colleagues and visitors are welcomed warmly. At other times, you’ll greet visitors at the reception desk of one of our offices in Utrecht or Amsterdam.
You love being on the go, anticipate needs before anyone asks, and make sure colleagues and visitors feel welcome. You’ll never get bored no two days are the same!
Where you will work
SURF is the ICT cooperative for Dutch educational and research institutions. Together with them, we work on digital services and complex innovation challenges to enhance the quality of education and research.
Working at SURF means working for a unique and open organization. This is evident in everything: the structure of the organization, the setup of the project teams, the culture in our offices, and the atmosphere among colleagues. SURF offers excellent terms of employment and a flexible approach to work/life balance. Employees enjoy working independently. In addition, everyone is given the space and freedom to use and develop their talents as effectively and broadly as possible.
The team you will join
Our facilities team ensures that our colleagues can do their jobs effectively and that visitors feel welcome at SURF. From reception and meeting services to cleaning, coffee, security, and mail: with a team of 14 colleagues, we provide a pleasant and professional work environment in our two office buildings.
What you will do
On Friday and Wednesday mornings, you’ll be the familiar face of our conference center in Utrecht. You’ll ensure that meeting rooms are set up and ready to go, keep the coffee stations perfectly organized, and assist with lunches and meetings.
In addition, you’ll work about 8 hours a week as a receptionist at our locations in Utrecht and Amsterdam. There, you’ll greet visitors, assist colleagues, and serve as the first point of contact for everyone who enters our office.
It’s precisely this combination that makes this role so enjoyable: one day you’re on the go on the work floor, and the next you’re at the reception desk providing a warm welcome and a professional greeting.
Specifically, your responsibilities will include:
- You’ll ensure that meeting rooms are set up on time and left tidy and ready for use afterward.
- You’ll keep the coffee stations and our office neat and well-maintained. You’ll restock supplies, clean machines and whiteboards, tidy up any stray dishes, and work with the team to create a pleasant work environment.
- You’ll organize lunches and social gatherings and clean up afterward.
- You’ll welcome colleagues and visitors and serve as a hospitable point of contact at our reception desks in Utrecht and Amsterdam.
- You’ll help manage inventory for the conference center, the reception area, and the coffee stations.
- You’ll regularly walk through the building and immediately identify any areas that need extra attention.
Your skills and experience
You enjoy interacting with people and find fulfillment in creating a pleasant environment for colleagues and visitors. You work independently, but also feel like part of a close-knit facilities team.
In addition:
- you have a welcoming and service-oriented attitude;
- you are presentable and have strong communication skills;
- you enjoy an active, varied workday;
- you identify tasks that need to be done and take the initiative to tackle them;
- you have at least a vocational education (MBO) level of work and thinking;
- you are available for 20 hours per week.
